Overview We are seeking a detail-oriented and organized Scheduler to join our growing construction business. This position plays a key role in coordinating customer appointments, managing annual maintenance/service schedules, and ensuring smooth daily operations for our Design Specialists. The ideal candidate has strong communication skills, thrives in a fast-paced environment, and is committed to providing exceptional customer service. Experience helps, but the right personality is just as important.
Schedule
· 4 x 10’s with Tuesday, Saturday, and Sunday off. Saturday overtime as needed.
· 8am-7pm with one hour lunch or two 30-minute lunches.
Responsibilities
Schedule and confirm appointments for inspections, repairs, and follow-ups.
Make a minimum of 60 outbound calls each day to warm leads who have canceled or not yet booked an appointment, with regular follow-up efforts for up to one year.
Work to overcome objections by providing at least two thoughtful rebuttals in an effort to secure or reschedule the appointment.
Communicate with customers via inbound and outbound phone calls, emails, and texts to set and confirm appointments, provide updates, and handle reschedules or cancellation requests.
Manage and optimize daily routes and calendars for service and sales representatives across the entire state of Idaho as well as Alaska, including several out-of-town trips that must be strategically planned and well organized to ensure timely arrivals and maximum efficiency.
Maintain precise records in the company’s CRM (Salesforce / i360) and ensure all information is current and every phone call is logged.
Represent the company with integrity and deliver outstanding customer service.
Qualifications
Previous experience in scheduling, dispatching, or customer service (construction industry preferred).
Comfortable with high-volume outbound calling and long-term lead nurturing.
Strong communication, multitasking, and organizational skills.
Proficiency with CRM and scheduling software (Salesforce, i360) and Microsoft Office (Outlook, Excel).
Familiarity with construction terminology is a plus.
Bilingual abilities are highly desirable.
High school diploma or equivalent; Associate’s degree preferred.
